How to fill out a rent receipt
- Landlord / property name and address. The person or company who received the rent. Phone is optional.
- Tenant name. Who paid.
- Property address and unit. The home the rent covers.
- Receipt number. Your own sequence, such as R-0007. In a batch, later months add 1, 2, 3… to that number.
- Payment date. The day the money was received. A batch shifts this date by calendar months (31 January becomes 28 February in a non-leap year).
- Amount. The sum received for that period.
- Rent period. Start and end dates, or a calendar month. A batch shifts both dates by the same number of months.
- Payment method. Cash, check (add the check number), money order, bank transfer, or other.
- Payment for. Rent, last month's rent paid in advance, security deposit, rent arrears, or other. The PDF prints this on every receipt in a batch.
- Balance remaining. Optional. Use it if the tenant still owes part of the rent. It is printed in the selected currency; leave it blank to omit the line.
- Notes. Optional. Late fees, partial payment, or who handed over the cash.
- Received by and title. The name and title of the person who took the payment (for example Owner or Property manager). They print on a Received by line. The signature line stays blank so it can be signed by hand.
California rent receipt rules
This is a summary, not legal advice. Check the current law or ask a local tenant/landlord office.
California Code of Civil Procedure § 2075 says whoever pays money is entitled to a receipt from the person paid, and may demand a proper signature on that receipt as a condition of the payment.
Civil Code § 1947.3(a)(1) requires a landlord to allow a tenant to pay rent and a security deposit by at least one form of payment that is neither cash nor electronic funds transfer, with a limited cash-only window after a check is dishonored or stopped.
Under Civil Code § 1947.3(c), issuance of a money order or cashier's check is direct evidence only that the instrument was issued — not that the landlord received it for a named rent period.
Landlord and tenant may agree that rent may be paid in cash or by electronic funds transfer only if another allowed form of payment remains available. Civil Code § 1947.3(e).
FAQ
Does California require a landlord to issue a rent receipt?
California Code of Civil Procedure § 2075 says anyone who pays money is entitled to a receipt and may demand a signature on it as a condition of payment. This page did not find a separate statewide Civil Code section that names a landlord-only cash-rent receipt form.
Can a California landlord insist on cash only?
Civil Code § 1947.3 says the landlord must allow at least one way to pay rent and a security deposit that is neither cash nor electronic funds transfer, with a short exception after a bounced or stopped check.
Why keep a receipt if I paid with a money order?
Civil Code § 1947.3(c) says the issuance of a money order or cashier's check is direct evidence only that the instrument was issued. A signed receipt still records that the landlord received it for a named period.
